Attending board members: Adam Jackson, Alan Coopersmith, Eric Anholt, Bart Massey, Carl Worth, Donnie Berkholz, Matthieu Herrb. Absent board members: Daniel Stone. Attending non-board members: Keith Packard, Tiago Vignatti. The board invited Tiago to discuss the conference to be held in Brazil. Bart asks "can we get this organized in time for BOSSA?", which is 7-10th of March. Bart explains that "If we could get things nailed down in the next week or so I'd be comfortable with doing it then", "Otherwise, I think we're going to have to have a later date" "If we call it too close, no one will be able to come" and "I think our principal concern was cost" Keith adds "there is also the issue of the fosdem X dev room, which has been scheduled for just a couple of weeks prior to bossa", to which Bart replies "I don't know that we have any special commitment to FOSDEM, but I think X.Org would be happy to pay for someone European to attend..." Tiago explains that the estimates from the hotels, for the venue, were close to 3000usd, which Bart finds acceptable, but he adds " The costs of sponsored travel and accomodations is the remaining issue", "I don't think anyone's going to be able to pay out of their own pocket to travel there". Bart then asks "Can corporate folks get the trip approved with this much lead time?", to which Eric replies "intel folks are heading to the fosdem event, and are unlikely to go to a similar event the next month", both the intel people and Adam add that they generally allocate travel budget one quarter in advance. When Bart then asks "ould the Intel X folks trade FOSDEM for XDC? Would they want to?", Donnie replies "The fosdem X room has been quite popular from what I hear", and Keith says "realistically, we should try to give people at least one quarter notice prior to a conference". Bart makes an intermediate summary of the situation: "So we're probably looking at a conference where X.Org would have to pay for most of the attendees unless we can find sponsorship.", to which Alan adds "and which is only 6 months after XDC09 and 1 after FOSDEM". Bart concludes "This doesn't seem like it's going to work very well." Tiago then suggests to move to FISL, which will be in June/July, but Keith asks "could we do bossa next year?", which Bart agrees with. Keith adds "would need to negotiate with Luc about fosdem". Bart remarks that "we still need to find a time and venue for XDC 2010...", Keith suggests "Boston, adjacent to LPC/KS", "September". Bart then replies "I thought we needed to be non-US this year?" and "I guess we could do US two years in a row...would Europeans et al be unhappy?". Keith answers "Given fosdem, it seems like we're pretty well covered this year for Europe at least". Donnie then asks whether it would be possible to colocate with FOSDEM, but Bart states that "the lead time there is pretty short". On the other hand, Bart states "We could just skip this year and advise folks to go to FOSDEM...", "We aren't obligated to hold an event every year. Keith adds "Supporting the existing X dev room at fosdem would be easy at least". Alan remembers "didn't mherrb also have a proposal for france at one point?", to which Matthieu replies "my proposition to hold the conf in Toulouse still holds. Either end of june or beginning of sep." Bart likes this idea and asks Matthieu whether organising this is possible, to which Matthieu answers "yes. It's possible. The logistics is easy in a university framework." Bart concludes the situation with "OK, I think we have a tentative plan. X.Org can support FOSDEM X dev room to some degree, we can hold XDS 2010 in Toulouse in September, and XDC 2011 in Brazil in March". When he then asks "Any objections?", Tiago adds "yeah, I miss Brazil :P" Bart brings up the "lolita porn spams" being sent to the xorg list. Some people have seen it, some people have it as some spam filters already catch these mails for them. Adam has already added a filter for the "lolita" string, and suggests: "for the next month or so i think manual reject filters will do fine". Bart talks about the elections, repeats "that it's time to set up and run a test election now." Of the two other election committee members, only Alan has the time to do so now, and he sets off doing so, and is given some pointers by both Eric and Carl. Alan remembers that there was a travel funding request for FOSDEM that the board still has to deal with. Bart replies " I don't remember one. If there is I vote yes... :-)" Apparently Bart forwarded the email to the board himself on the 14th of December, and Donnie remembers "The Siberia one" . Alan quotes Mikhail "I'd love to give a talk about first-hand experience of using X with e-Ink (I'm leader of OpenInkpot project) and what could be done to improve X on such exotic output devices." Since there was no cost estimate from Mikhail, Bart decides "Let's call it $1500. If it's more than that he'll have to find some other funding.", and Eric, Alan and Donnie agree. No motions were presented, no voting took place.
