Attending board members: Adam Jackson, Bart Massey, Matthieu Herrb. Absent board members: Carl Worth, Eric Anholt, Daniel Stone, Alan Coopersmith, Donnie Berkholz. Attending non-board members: Keith Packard. Bart starts off the meeting with a quick list of the TODO's: "1) I'm behind on running the election. I'll try to get caught up today. The calendar will have to alter a bit, but there's room.", "2) The whole subpoena thing is on hold. I called Karen last week and she hasn't got back to me. More news when I have some.", "3) Someone please answer Tiago's recent email re XDC 2010?", "4) Somebody needs to run a sample election through our software in the next day or three." Nobody has anything to add to that, and there is not enough Board attendance to vote for anything. Keith then states "Tiago's numbers are a bit scary" "in that it they don't include airfare", and everyone present agrees that "they're too high." Keith adds "I'm fine with the non room costs; it's really the hotel charges that would be a problem". Bart summarizes " So mostly we just need to push back on Tiago and try to find some more reasonable venue---as fun as serious money resort place would be, it seems kind of irresponsible.", to which Keith replies "unless we can get sponsorship" "it would only take about $20k to make this quite reasonable looking :-)" Bart then states "if the hotel rooms are expensive enough some folks won't be able to stay in serious resort place anyhow.", to which Keith replies "I'm not sure that's viable in this location" Bart then brings up the following: "Oh, BTW, I'm not sure I told anyone, but I owe X.Org $900 for XDC 2009. Turns out the rate we computed was without the 50% PSU discount on the rooms." "I'll try to figure out a way to get it back sensibly." "I think that makes this event far the cheapest we have held.". Keith replies "I'd stick it in the bank until we manage to switch accounts", to which Bart replies "It will sit in my account at PSU until you want it." and "Of course, the big barrier to switching accounts at this point is a certain financial statement... :-)" Keith confirms "I'm still on the hook for reporting on how much we've spent over the last few years; that will include the costs for most of the XDC/XDS adventures". The Brazil conference discussion resumes with Bart proposing to "Offer up to $10K of X.org money, and see if Tiago or we can round up sponsorship for the rest" and "we really want to be FISL instead of IHDN, as I recall from previous discussion". Keith remarks "asking tiago to run a conference at fisl would be like asking one of us to run a conference in Boston" "I'd say we need to push back on costs and suggest that if he wants to have us there, he'd need to locate 'substantial' donations from outside X.org". Bart asks "Would going with FISL be cheaper?", to which Keith replies "I'm sure FISL would be a bunch cheaper; I've never spent anything like $100/night in Porto Alegre". Bart concludes the meeting with "So let's verify with the rest of the Board that what we really want to do is FISL, then politely ask Tiago to find someone in Porto Alegre to help him organize...", and "Anybody want to take responsibility for running a discussion on the Board list?" No motions were presented in this meeting, no voting took place.
